Job Vacancy: CRM Project Coordinator - British Water Ski & Wakeboard
It is an exciting time to be a part of British Water Ski & Wakeboard as it embarks upon a major CRM and website project to replace legacy systems and develop its membership services and communications.
This major investment aims to both modernise and streamline our membership systems, deliver improved membership services and provide for efficient and seamless back office membership management. The project further aims to provide the organisation with greater levels of customer insight, encourage retention and provide the tools to support our 2013/17 strategy for the whole sport. BWSW will be working with the leading membership software provider IRIS on the implementation of their Integra membership management suite. A further third party provider will implement an integrated website solution to complement the IRIS system.
Working as part of the CRM project team the new role of CRM Project Coordinator is aimed at supporting this project to ensure successful delivery.
Role Details:
- Salary: circa £25K dependent on skills and experience.
- Hours of work: generally 9am – 5pm Monday to Friday 35 hour week with one hour for lunch (some occasional work outside of these hours may be required subject to service needs).
- Period of employment: 18 months offered on a 12 month fixed term initially. Subject to 3-month probationary period.
- Holidays: 20 days per annum.
- Located at Chertsey, Surrey with some travel required in terms of project roll out and training.
- Responsible to the Chief Executive Officer.
- Part of the CRM project delivery team.
Key Responsibilities
Set Up - IRIS
- Working with the project team develop the project plan, timeline and scope of project.
- Liaise with suppliers to schedule project delivery.
- System set up and customisation to BWSW needs (working alongside IRIS and the project team).
- Data cleansing and data migration.
- Report writing, configuration and system testing.
- Integration with admin processes e.g. renewals, direct debits etc.
- Integration with finance processes.
Set Up – Website Content Management
- Working with the project team develop the project plan, timeline and scope of project.
- Liaise with suppliers to schedule project delivery.
- System set up and customisation to BWSW needs (working alongside provider and the project team) e.g. calendars, downloads, directories of clubs etc.
- Migration and update of core content.
- Content development; source contributors.
Roll Out
- Promote the benefits of the system to affiliates.
- Production of training materials both hard copy and online.
- Schedule and deliver training both in group sessions and via individual visits.
- Provide telephone support in relation to functionality and act as main contact point for affiliates.
- Meet roll out and take up targets by affiliates to ensure system use.
Ongoing Development
- Production of custom reports.
- Ongoing production of related web content; source contributors.
- Documentation of HQ processes and related procedures.
- Liaise with suppliers to further develop functionality (second phase) e.g. in relation to online competitor leagues.

Person Specification
Applicants must have demonstrable experience of working in a similar role within a small organisation and proven relevant experience and a strong track record.

Project Related skills
- Understanding of relational databases e.g. tables, keys and joins and database reporting tools e.g. Crystal Reports.
- Logical thinking - experience of rule-based processes such as if-then-else or decision trees.
- Data migration and ensuring data validation / quality.
- Experience of administering database applications an advantage, including tasks such as adding users, setting security options, controlling lookups and managing email templates and MS Word templates.
- Experience of providing support to users.
- Strong knowledge of Microsoft applications.
- HTML, online publishing.
- Desktop publishing skills e.g. Quark Express useful but not essential.
Essential Experience
- Proven experience of CRM projects, roll out, support and training.
- Production of training materials both hard copy and online e-Learning.
- Understanding of how IT systems can impact on the success, efficiency and performance of a membership association.

British Water Ski & Wakeboard is the National Governing Body for water skiing and wakeboarding in Great Britain and is recognised as such by the UK and English Sports Councils.
We are a not for profit membership association of some 150 affiliated clubs and ski centres and 10,000 members with all of our income invested in developing and protecting water skiing throughout Britain from the grassroots level through to our top athletes The organisation is responsible for the development of the sport; co-ordination of national and international competition; selection of National teams; training and registration of coaches and officials and increasing the opportunities for participation in water skiing in all its forms. Location
BWSW is based at the Hanworth Lane Business Park in modern, comfortable and spacious offices with ample parking.
